How to Set Up a Corporate Event Room in 5 Minutes

Step 1: Choose Your Configuration

Every corporate event starts with one question: what is the purpose of this meeting? The answer determines your layout.

  • Theater style → keynotes, presentations, all-hands meetings (max capacity)
  • Classroom style → training, workshops, note-taking sessions (tables + chairs facing front)
  • U-shape → group discussions, collaborative workshops (everyone faces center)
  • Boardroom → board meetings, executive sessions (single large table)
  • Cocktail/Reception → networking events, product launches (standing with high-tops)

Step 2: Set Your Room Dimensions

In Floors.live, open the editor and set your canvas to match your venue. If you have a floor plan from the venue, upload it as a background image for pixel-perfect accuracy.

  • Click "New Event" and name it (e.g., "Q2 Town Hall")
  • Set canvas dimensions to your room size or upload the venue floor plan as background
  • Use the scale calibration tool to match real-world measurements
  • Tip: Most hotel conference rooms are 10-20m × 15-30m

Step 3: Place Your Elements

Drag and drop the core elements for your chosen configuration. Start with the stage or presentation area, then work outward.

  • Theater: Place stage/podium first, then add rows of chairs (leave center and side aisles)
  • Classroom: Place rectangular tables in rows facing the front, add chairs behind each table
  • U-shape: Build the U with rectangular tables, presenter position at the open end
  • Add AV equipment: projector, screen, speakers, microphone stands, camera positions

Step 4: Share & Collaborate

Your layout is ready. Now share it with the venue manager, AV team, and client for alignment.

  • Click "Share" to generate a presentation link — recipients view on any device, no signup needed
  • Export as PDF for formal proposals and setup guides
  • Use version control: create "Version A: Theater 200" and "Version B: Classroom 120" for client review
  • Add comments directly on the floor plan to note AV requirements or setup instructions
